The Human Resource Administrator manages all administrative functions related to personnel and employment with a particular focus on benefits administration. This role involves creating and maintaining accurate and relevant personnel files, ensuring compliance with federal and state laws, and protecting employee privacy. Additionally, the HR Administrator monitors the quality, cost, and appropriateness of benefits and assists employees in understanding and utilizing their benefits. The HR Administrator also supports the performance management process, schedules performance reviews, and tracks employee development.

Specific Responsibilities include:

  1. Personnel Functions
  • Maintain accurate and up-to-date employee records, including payroll, insurance, vacation, sick leave, and overtime.
  • Ensure personnel files are managed according to state and federal laws regarding file security, content, employee privacy, and access.
  • Oversee the orientation of new employees, which includes reviewing the Employee Handbook, providing benefits information, completing necessary paperwork, and introducing new hires to Webb offices and personnel.
  • Enter all new employee information into their employee card, including contact information, emergency contacts, tax information, wage, etc.
  • Assist in employee terminations, ensuring the proper paperwork is completed, terminating benefits, and processing final checks.
  • Create and update employee job descriptions.
  1. Benefits Administration
  • Oversee Webb benefits, including periodic reviews of quality, cost, and appropriateness of benefits, benchmarking against other organizations, and explaining benefits to enhance employee understanding and appreciation.
  • Bill weekly insurance for laid-off employees.
  • Add and terminate employee benefits for new hires and terminations.
  • Educate employees on benefit plans such as health and life insurance, ESOP, 401K, etc.
  • Prepare accident reports, submit first reports of accidents to the State Insurance Fund, and maintain worker’s compensation records and reports.
  1. Performance Management
  • Assist in the performance management process by scheduling appraisals and maintaining records of employees’ skill development.
  1. Employee Liaison
  • Manage the preparation, publication, and distribution of the employee newsletter and other company-wide communications initiated by management.
  • Update the Employee Handbook as needed.
  • Ensure that Webb’s various businesses, departments, and locations are aligned in their knowledge of major issues, strategies, and developments.
  • Maintain employee manuals and recruiting materials.
  • Answer basic employee questions about policies.
  • Act as a conduit for employee issues/problems/questions, gathering details and contacting the appropriate manager or advisor for follow-up.
  • Serve as a third party in employee meetings and provide documentation from meetings to store in employee files.
  • Organize company events such as Back to Work Day, Company Picnic, Highway Clean up, and assist with the employee yearbook.
  • Translate documents when necessary.
  1. Legal and Compliance
  • Maintain up-to-date knowledge about changes in human resource management practices, particularly those that minimize legal liability for Webb.
  • Distribute updates regarding changes in company operations, personnel policies, business policies, significant business developments, personnel shifts, etc.
  • Process unemployment claims.

 

 

 

Qualifications:

  • Proficiency in Microsoft Office, Microsoft GP Dynamics, and Timeclock Manager.
  • Excellent people skills for effective communication with employees.
  • Extensive knowledge of employee benefit programs and compliance with Human Resources laws and regulations.
  • Bilingual skills are desired but not necessary.
